Provider to Patient Messaging Tutorial

Overview

The Provider to Patient Messaging feature enables healthcare providers to send secure, one-way messages to patients through the DrWell Provider Portal. This feature helps improve patient communication and engagement, especially regarding program enrollments and clinical care updates.


Who Can Use This Feature?

  • Any user signed into the DrWell Provider Portal with access to patient orders or enrollments can send messages to patients.

  • Patients cannot reply to messages but can call the practice using the Call Us button.


Ways to Start a New Message Thread

Option 1: From the Orders or Enrollments List

  1. Sign into the DrWell Provider Portal.

  2. Navigate to any of the following pages:

    • Pending Orders

    • Submitted Orders

    • Enrollments

  3. Locate the patient row and click the Actions menu (...).

  4. Select View Profile.

  5. Click the Messages tab.

  6. Click New Message Thread.

Option 2: From the SmartConsult Form View

  1. While viewing a patient's SmartConsult Form, click New Message (if available).


Creating and Sending a Message

  1. In the New Message Thread window:

    • (Optional) Enter a Subject.

    • (Optional) Select a Referral Program to associate with the message.

  2. Enter your message content.

  3. Click Send Message.

Note: If the patient has existing threads, you may still initiate a new message thread.


What Happens After Sending a Message?

  • If the patient has text notifications enabled, they will receive a text alert with a link to view the message.

    • This setting is managed in the patient’s Account Information in the DrWell Patient Portal.

  • If a Program Enrollment is included in the message, the patient will be able to enroll directly from the message link.

Patients cannot reply to provider messages but may use the Call Us button in the thread to contact your practice directly.


Viewing Message Threads for a Patient

To access historical message threads for a specific patient:

  1. Navigate to the Enrollments page.

  2. Search for the patient using their name or ID.

  3. Click the Actions menu (...) and select View Profile.

  4. Click the Messages tab.

  5. Click any existing message thread to view the full conversation history.
